About the Role

PADCOM Design & Construction Management Services is seeking an Administrative Assistant II to support The Development Group (TDG) Cost Accounting Team at Los Angeles World Airports.

This role provides administrative, clerical, and data management support to ensure efficient operation of the Cost Accounting Team. Responsibilities include supporting consultant timekeeping processes, maintaining budget and expenditure records, preparing reports, and coordinating administrative activities in a fast-paced program environment.


Key Responsibilities

  • Provide administrative, clerical, and data management support to supervisors and project teams.
  • Assist with consultant timekeeping services and related coordination activities.
  • Prepare and route budgetary memos, requests, and supporting documentation.
  • Update charge code lists, contract budget authorizations, and monthly expenditure records.
  • Maintain and organize electronic files within shared document management environments.
  • Train new users on timekeeping applications and provide ongoing support.
  • Gather, compile, and analyze data for internal reports and presentations.
  • Perform data entry, document scanning, and report preparation tasks.
  • Develop, update, and revise reports in spreadsheet, graphical, or narrative formats.
  • Verify data accuracy, including matching invoices and supporting documentation.
  • Distribute reports and correspondence as directed.
  • Prepare general correspondence and maintain project records and files.
  • Answer and route phone calls, take messages, and respond to inquiries.
  • Receive, sort, and distribute incoming mail.
  • Maintain organized workspaces and filing systems.
  • Collaborate with stakeholders to support TDG objectives and team initiatives.
  • Perform additional administrative duties as assigned.

Minimum Qualifications

Education

  • High school diploma or equivalent

Experience

  • Minimum 5 years of relevant administrative or office support experience
  • Proven experience supporting office operations in a professional environment

Skills & Knowledge

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Strong keyboarding, data entry, and organizational skills
  • Excellent written and verbal communication skills
  • Strong interpersonal and customer service abilities
  • Ability to work independently and complete assignments with minimal supervision
  • Ability to manage multiple priorities in a high-volume environment
  • Strong attention to detail and accuracy
  • Flexible and adaptable in changing work environments

Preferred Qualifications

  • Experience with Prolog or similar project management software
  • Familiarity with TDG policies and procedures
  • Experience supporting accounting, budgeting, or financial administration functions

Work Conditions & Requirements

  • Hybrid work schedule:
    • Remote: Monday and Friday
    • Onsite at LAX: Tuesday, Wednesday, and Thursday
  • Fast-paced, team-oriented work environment
  • May be assigned additional duties as required
